撰写英文商务电子邮件有哪些小技巧？

耀时xeon: 为啥呢？
小咪：领导说写的英文邮件是…说了好几次了，说再没有进步要给我调岗…可是他也没说应该要怎么写…
耀时xeon：这个问题可以说上三天三夜，说不完啊…
小咪：先讲讲几个我困惑的问题吧。
耀时xeon：好吧，old sport!
小咪：写英文商务邮件时，在Dear Balabala后，可以直接进入主题吗？
耀时xeon：这要看情况啦。一般而言，需要在进入主题前加一些过渡，引出主题，并显示礼貌。当然，如果邮件双方对彼此及话题都非常熟悉，也可以省去这些，直接进入主题。常见的过渡比如：
※Thank you for your prompt reply.
感谢您的及时回复。
※I apologize for not replying sooner, but I have been very busy these last few weeks.
很抱歉没能及早回信，但是过去几周实在太忙。
※With reference to your email of October 11, I would like to bring the following to your attention.
关于您10月11日发来的邮件，我有以下几点想跟您说。
※As a follow-up to our phone call this morning, I would like to summarize the following key issues.
关于您早上的电话，我想总结以下关键点。
小咪：邮件收尾我只会用best wishes，可以告诉我其他的表达方式吗？
耀时xeon：常见的表达方式有：
※Cheerful greetings to all.
向大家致以愉快的问候。
※Kindly reply at yourearliest convenience.
深盼贵司及早回复。
※We await good news withpatience.
我们将随时为您服务。
※Please let me know ifthere is anything I can do to help.
如果有什么我能帮忙的，请告诉我。
※Should you have anyquestions, please feel free to contact me.
如有任何疑问，请随时联系。
※Do not hesitate tocontact us again if you require any further information.
如果您需要进一步的信息，请随时与我们联系。
小咪：领导经常说我邮件逻辑不清，要怎样才能让邮件逻辑清晰啊？
耀时xeon：根本原则是，要学会站到收件人的角度去考虑问题，组织邮件行文。经常问问自己，如果你是收件人，怎样的邮件是能让自己阅读愉快、理解轻松的。技巧性的点包括：
※尽量少用被动语句。
比如：“We will solve theproblem.” 比“The problem will besolved by us.”更直接、更好理解。
※尽量写短句
句子越长，可能犯的错误就越多，收件人在阅读时也会浪费更多的时间。在表达时，始终问自己，究竟想说什么，采取最简洁精炼的句式来表达。
※分清事实与主观意见
在敲键盘之前，建议先梳理好思路,将事实陈述与个人建议逻辑清晰地分段陈述。
※灵活表格来辅助
对于比较抽象或复杂的信息,与其写一大段文字, 不如画张小图表，如果图表不能完整表达的,可以再加上文字说明。
※学会分段，使用“1、2、3…”或小黑点bullet point等方式增加逻辑性
尽量做到一段话讲清楚一个问题。对于一些同等重要的信息,可以用小黑点bullet point列出。对于有逻辑先后的信息,标好1、2、3……
小咪：邮件中经常看到大写字母缩写，我可以在哪些情况下使用呢？顺便介绍一些常见的英文缩写呗~
耀时xeon：如果是非常正式的邮件，建议尽量不要使用缩略语，避免对方在不了解相关背景时产生困惑。但需要知道一些约定俗成的商务缩写用法：
※ASAP—as soon as possible：尽快，越快越好。
E.g.：We recommend Johnny submit hisresidence permit application ASAP.
※BTW—by the way：顺便说一下，或是说句题外话的意思。
E.g.：Is there any feedback from theclient? BTW, you haven’t sent me your financial report for last month.
※CC—carbon copy：抄送，比如有发送对象也是新建内容的关系人，但并不是你的对话对象，你只希望对方知晓这件事，就可以抄送给他们。
E.g.：Give a notice to Steven Rogers ofthe current situation, and CC to me.
※FYI—for your information：意思是“给你看下”，一般都是转发已有的邮件给另外一个人时使用。
E.g.：FIY,This is our brochure.
※PLS/PLZ—please:请
E.g.：When you have time pls kindly helpreview this contract.
小咪：可以告诉我一些常用的委婉语气的表达吗？比如征求意见、委婉拒绝。
耀时xeon：委婉表达需要注意一些常用的礼貌用词，并且少用祈使句，常见的场景有：
※委婉拒绝
（1）We are indeed sorry for beingunable to take your order. We sincerely hope that you will understand oursituation and keep business relations with us in the future.
很抱歉不能接受您的订单。我们真诚地希望您能理解我们的情况，并在未来与我们继续保持业务关系。
（2）I really want to attend theexhibition, but unfortunately I will be engaged in a very important meetingduring that time.
我也很想参加这个展会，但很不巧的是，我在展会期间要参加一个非常重要的会议。
（3）That’s very kind of you, but I’mafraid that…
非常感谢，但是我恐怕……
※提出要求/征求意见
（1）We would appreciate if you could…如果您可以……我们将十分感激
（2）If you could …, that would begreat.如果您可以……
（3）By any chance, could you help checkthe data?你能帮忙核对一下数据吗?
（4）I would really appreciate youlooking into this matter. 如果你能调查一下这件事，我将非常感激。
（5）Look forward to your feedbacks andsuggestions soon. 期待您的反馈和建议。
小咪：刚刚说的委婉语气，那强硬语气的表达又有哪些呢？比如表达不满、坚持观点?
耀时xeon：强硬的表达需要在礼貌的同时让人明白你的立场，常用表达有：
※坚持观点
（1）As we understand, the commentsshould be acceptable. 据我们所知，这些评论应该是可以接受的。
（2）I am convinced that … 我坚信……
（3）I totally understand that…, but…我完全理解，但是……
（4）We must insist on an immediate replacement/ full refund.我们坚持要求立即换货/全额退款。
※表达不满
（1）Please replace the faulty goods assoon as possible.请尽快更换有问题的货物。
（2）Unless I receive the goods by theend of this week, I will have no choice but to cancel my order.除非我在本周末之前收到货，否则我别无选择，只能取消订单。
（3）It would be difficult for us to … 这对我们来说很难……
Tips在邮件中，还可以使用加粗、下划线或者大写等方式来增强语气。比如：
Thus, I’m afraid the followingshall be SERIOUSLY discussedat this time.
因此，我想下面的这些问题此刻需要严肃讨论。
小咪：表达转折、并列等常用的连接语有哪些，应该如何使用呢？
耀时xeon：用好转折词，会让邮件分段看起来不那么生硬，逻辑也会更流畅！记住以下这些常用的连接词：
※表层进
（1）first，firstly,at first, 最初
（2）to begin with, to start with, firstof all, 首先，第一
（3）Initially, 最初，开始
（4）first and foremost, 首要地，首先
（5）in the first place, 首先，第一点，原先
（6）in the next place 其次，第二点
（7）above all, 尤其是，更重要的是，首要
（8）second, secondly; third, thirdly 第二/三
※表举例
（1）for example, take …for example,cite an example in point, take …as a typical example,举个例子
（2）for instance, 例如

耀时xeon：这个是有一些套路啦，比如：

※I’m sending you … as apdf file.
我以pdf形式将……发送给你。
※Attached is the designdocument, please review it.
